Every SaaS comparison publishes the per-seat price. Almost none publish what happens when you cross a limit, which is where the money actually is. We read 56 vendors’ pricing pages by hand. The median upgrade costs 125% more. The worst, Mailchimp, costs +1,650%.

Where we found the vendor stating the threshold, it is quoted. A blank means we have not recorded one, which is not the same as the vendor publishing none: thresholds are often buried in a feature table well below the prices, and we are still working through them.

These vendors charge per unit rather than per tier, so there is no jump to point at. The bill tracks usage instead of headcount, which makes it invisible to any forecast built from seat counts.

Why this wrecks a forecast

Software budgets get built from per-seat prices, on the assumption that cost tracks headcount. Look at the triggers above and most of them have nothing to do with headcount. A team that hires nobody all year can still cross Copper’s contact cap, blow through ClickUp’s automation allowance, or watch Xero’s introductory rate expire.

Because these are steps rather than slopes, the whole increase lands in one billing cycle, months after the budget was approved. And it lands when the team is growing, which is exactly when nobody wants to reverse the decision that caused it.

Plenty of these upgrades are worth paying for. Front charging more above ten seats is a defensible way to price. The complaint is not that the second number exists. It is that only the first one shows up in the comparison that led to the purchase.

Five vendors publish no price at all

HiBob, Personio, Paychex, NetSuite, Marketo, Rippling show a contact form where the prices should be. There is no cliff to measure because there is no ladder to see, which for a buyer comparing options is the least useful answer of the 62 vendors here.

How this was checked

Every figure was read off the vendor’s own pricing page by hand on 7 August 2026, and each vendor name links to the page it came from. Where a vendor shows annual and monthly columns, the annual figure is used, except for Doodle where the monthly premium is the finding.

By hand is the load-bearing part. We tried extracting these automatically and it failed in a way worth repeating: asked for Intercom’s tiers, the extractor returned $0.99 per seat for all three, having picked up the per-outcome AI price printed next to the per-seat table. The real figures are $19, $85 and $132. Pricing pages are dense with decoys of that shape, and two errors in our own dataset came from exactly this, both corrected before publishing.

Historical claims are excluded. Several of these vendors have raised prices over the past three years and those changes are real, but confirming a price that is no longer published needs archived snapshots we could not retrieve. Citing someone else’s blog for a number we had not seen ourselves would defeat the point. Everything here is live and checkable today.

56 vendors is not the whole market. It is drawn from the SaaS cost pages we maintain, and it favours thresholds we could verify precisely over the largest numbers we could find.
